ProperEasy Pty Ltd (“ProperEasy”, “we”, “us”, or “our”) is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in Schedule 1 of that Act.

This Privacy Policy explains how we collect, use, disclose, and safeguard personal information we receive from users of our website and platform at propereasy.com.au. By using our platform, you agree to the practices described in this policy.

1. What Information We Collect

We collect personal information that is reasonably necessary for our functions and activities. This includes:

  • Identity information: your full name, company or agency name (for agents and property managers).
  • Contact information: email address and phone number.
  • Property details: addresses, property descriptions, photos, pricing, and other information you submit when creating or enquiring about a listing.
  • Account credentials: a hashed (encrypted) version of your password. We never store passwords in plain text.
  • Technical information: IP address, browser type and version, device type, and pages visited, collected automatically when you use our platform.
  • Cookies and tracking data: session tokens and preference cookies as described in the Cookies section below.
  • Payment metadata: transaction identifiers from our payment processor (Stripe). We do not store full card numbers or bank account details on our servers.

We collect this information directly from you when you register, create a listing, submit an enquiry, or contact us, and automatically through your use of the platform.

2. How We Use Your Information

We use personal information for the following purposes:

  • Creating and managing your ProperEasy account.
  • Publishing, managing, and displaying property listings.
  • Facilitating enquiries between buyers, renters, sellers, and agents.
  • Processing payments for listing fees and subscriptions.
  • Sending transactional emails (enquiry notifications, account confirmations).
  • Improving the functionality, security, and user experience of our platform.
  • Complying with legal obligations, including under Australian consumer and property law.
  • Detecting and preventing fraud or misuse of the platform.

We will not use your personal information for any purpose that is incompatible with these primary purposes without your consent.

3. How We Store and Protect Your Information

Personal information is stored in a secure PostgreSQL database hosted within Australia. We use industry-standard security measures including encrypted connections (TLS/HTTPS), hashed passwords, and access controls to prevent unauthorised access, modification, disclosure, or loss of your personal information.

We retain your personal information for as long as your account is active or as needed to provide services to you. If you request deletion of your account, we will remove or de-identify your personal information within 30 days, except where we are required by law to retain certain records.

While we take all reasonable steps to protect your information, no transmission over the internet is completely secure. You use our platform at your own risk, and we encourage you to use a strong, unique password for your account.

4. Disclosure of Your Information

We do not sell, rent, or trade your personal information to third parties for marketing purposes. We may disclose your information to:

  • Other platform users: your name and contact details may be shared with agents or sellers when you submit an enquiry, and with prospective buyers or renters when you publish a listing.

Where we disclose information to overseas recipients (e.g. cloud infrastructure), we take reasonable steps to ensure those recipients handle your information consistently with the Australian Privacy Principles.

5. Australian Privacy Principles Compliance

ProperEasy operates in accordance with the 13 Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth). In summary:

  • We are transparent about how we manage personal information (APP 1).
  • We collect personal information only by lawful and fair means, and only when reasonably necessary (APP 3).
  • We only use or disclose information for the primary purpose of collection (APP 6).
  • We take reasonable steps to ensure information is accurate and up to date (APP 10).
  • We protect information from misuse, interference, and loss (APP 11).
  • We provide individuals with access to, and the ability to correct, their personal information on request (APPs 12 and 13).

6. Cookies

ProperEasy uses cookies and similar technologies to operate and improve the platform. Cookies we use include:

  • Session cookies: to keep you logged in during a browsing session. These are deleted when you close your browser.
  • Preference cookies: to remember your settings and preferences across visits.
  • Analytics cookies: to understand how users interact with the platform so we can improve it. These may collect anonymised data.
